Our rapidly growing Specialty & Emergency Veterinary Hospital is seeking an experienced Practice Manager to support the launch and expansion of our general practice services. This role will work closely with the Hospital Administrator, playing a key part in strengthening day-to-day operations while helping prepare the hospital for long-term growth.

The Role

The Practice Manager will serve as a key operational partner to the Hospital Administrator, supporting daily hospital functions and gaining exposure to higher-level planning, workflow design, and leadership initiatives across the organization.

This role offers hands-on involvement in operations while providing mentorship and insight into strategic hospital management.


Key Responsibilities

Operational & Administrative Support

  • Partner with the Hospital Administrator on daily operations and hospital initiatives
  • Assist with workflow design, scheduling coordination, and process improvement efforts
  • Support the development, implementation, and refinement of hospital policies and SOPs

Team Leadership & Development

  • Provide leadership support to clinical and client service teams
  • Assist with onboarding, training, and staff coaching in collaboration with department leaders
  • Reinforce expectations around professionalism, teamwork, and accountability

Scheduling & Staffing

  • Support staff and provider scheduling to ensure appropriate coverage and efficiency
  • Monitor staffing trends and communicate needs or recommendations to leadership

Client Experience & Service

  • Help uphold high standards of client communication and service excellence
  • Assist with client concerns and service recovery as needed
  • Support accurate estimate processes and adherence to financial policies

Operational & Financial Awareness

  • Monitor patient flow, efficiency, and operational performance indicators
  • Support accurate charge capture and inventory coordination
  • Identify opportunities to improve workflow efficiency and patient access

Compliance & Safety

  • Support safety protocols, infection control standards, and regulatory compliance
  • Assist with hospital quality initiatives and compliance programs

What We’re Looking For

  • Veterinary hospital experience required
  • Prior leadership, supervisory, or operational experience strongly preferred
  • Strong organizational, communication, and problem-solving skills
  • Ability to manage competing priorities in a fast-paced clinical environment
  • Comfort with practice management software and scheduling systems
  • Professional, collaborative, and growth-minded leadership style

Qualifications

  • Minimum 3+ years of experience in veterinary operations, healthcare management, or a related leadership role in a fast-paced clinical setting
  • Bachelor’s degree in business, healthcare management, or a related field preferred (equivalent experience considered)
  • Experience with veterinary practice management systems (Instinct or similar), scheduling tools, and Microsoft Office or Google Workspace
  • CVPM or related leadership/HR certifications preferred
